New Registration System – Quick-Start Guide

This guide about our new registration process walks you through the main steps so you can be ready when registrations open.

Step 1: Create Your User Profile

  1. Click the Create My Profile link in the email or on our website.

  2. Enter your:

    • Full name

    • Phone number

    • Date of birth

    • Gender (M/F)

    • Email ID

  3. Verify your email using the confirmation sent to your email.

  4. Complete:

    • ID verification

    • Emergency contact details

    • Questions on volunteer eligibility and whether you have taken Kriya from Sri M

  5. Set a strong password so you can log in again later and use the "Forgot/Reset password" feature if needed.

Only approved profiles can register for retreats, lodging, or volunteering.

Tips for a successful ID verification:

  1. Have your government-issued ID ready and ensure your profile name exactly matches the name on that ID.

  2. Use a well-lit space with good light on your face, keep the camera steady, and stay still while your photo is taken.

  3. Make sure your camera works properly and your internet connection is stable before starting ID verification.

Any one of the following valid IDs is accepted for verification:

  • US or foreign passport

  • US driver’s license

  • US state ID card

  • US permanent resident card

  • Other IDs issued by the US government

Note: If your ID verification goes into manual review or your status does not update, please stop retrying, wait 24 hours, and then log in through an incognito/private browser window to see the correct status.

Step 2: Add Family Members and Friends

Family (for all seasons)

  • Add a spouse/partner (18+) by entering their email ID.

    • If they have an approved profile, they receive an email to confirm within 48 hours.

    • If they do not, they will be prompted to create a profile first.

  • Add children/dependents by entering their name and date of birth.

    • Both parents can add the same child.

    • The system automatically checks age eligibility for each program during registration.

Friends (this retreat season only)

  • Add a friend if you are attending together this season.

  • They must have an approved profile and confirm via email.

  • Friend connections are valid only for the current retreat season.

Add Family / Friends to a Retreat After Registration

  • Already registered to attend but want to include a family member or friend? Simply add them to your profile, then go to the “My Registrations” tab. Under your retreat booking, you will see a “Register Family/Friend” link. 

  • A drop‑down menu will appear showing all the family members or friends you’ve added to your profile. Select the names you’d like to register for the same retreat.

  • Proceed with the registration and payment.

Step 3: Register for Retreats

  1. Log in and go to the Retreat Registration section.

  2. Select the retreat(s) you wish to attend.

  3. Choose whether to register as an individual or include family/friend connections.

  4. The system will:

    • Enforce the minimum age policy for participants

    • Allow only one Kriya retreat per person per season

  5. Review and e-sign the terms and conditions for each retreat.

  6. Click Pay Now:

    • If spots are available, your payment is processed through a 3rd Party Payment Processor (e.g. Stripe) and a confirmation email is sent.

    • If any retreat is full, you will see which one is unavailable and can adjust your cart.

Step 4: Add Lodge Registration (Optional)

  1. After a successful retreat registration, you will be prompted to register for lodge stay.

  2. Choose dates:

    • From one day before your first retreat to one day after your last retreat

    • Include all days of each retreat (no partial retreat days)

    • For back-to-back retreats, you may include the days in between

  3. Select who will stay (you, family members, and/or a friend).

  4. Choose occupancy:

    • Double occupancy (same gender roommates, max 2 per room; under 18 with an adult)

    • Single occupancy rooms where available

  5. Review and e-sign lodge terms and conditions.

  6. Confirm payment through a 3rd Party Payment Processor (e.g. Stripe) and receive your lodge confirmation email.

Manage Lodge Booking

  • Edit your lodge stay dates (within retreat guidelines).

  • Use the new “Edit Guest” feature to add a family member or same-gender friend to your existing lodge booking.

  • If your lodge was originally booked as single occupancy and another registered participant (for example, your spouse or a same-gender friend) later wishes to share the room, please first add that participant to your profile and then add them to the lodge booking (this will update your lodge to double occupancy).

Please note that for the changes listed above, the system will calculate the refund or additional amount due where applicable, and you will be prompted to complete the payment to confirm the update.

Step 5: Cancellations and Refunds

  • You may cancel:

    • For yourself

    • For specific family members

    • For all participants on a booking

  • When you cancel a retreat, any related lodge bookings are canceled as well.

  • The system will:

    • Check if you are eligible for a refund per policy

    • Show the refund amount or “no refund” message

    • Ask you to confirm before processing

  • You will receive a cancellation confirmation email, and freed-up spots will become available for others.

New Cancellation Options

  • You can now cancel registrations individually or as a group directly from your profile.

    • To cancel one person, click the “X” next to their name.

    • To cancel the entire booking, use the “Cancel Registration” tab.

  • When a full booking is cancelled, any lodge reservation linked to it will also be cancelled automatically, and eligible refunds will be processed according to the retreat’s policy.

Step 6: Registration Against Cancellations

  • If a retreat is sold out, spaces that open due to cancellations may be offered as Registration Against Cancellations.

  • These opportunities:

    • Open on a set date after the cancellation cutoff

    • Use the same flow as the original registration

    • Include a 24-hour refund window; after 24 hours, these bookings are non-refundable.

Step 7: Volunteer Registration

  1. Ensure your profile indicates you are eligible to volunteer.

  2. Go to the Volunteer Registration section.

  3. Select:

    • Which retreats/days you wish to serve (pre-retreat days, all retreats, post-retreat day)

    • Your prior volunteering experience

    • Whether you have completed a Yoga Teachers Training Course

    • Your preferred service areas (e.g., Lodge, Kitchen, Dining, Parking, Registration & Merchandise, Cleaning & Sustainability, Pots & Pans, or “Any task”)

  4. Volunteers aged 15–17 must provide parent/guardian details; the parent/guardian must be on campus at the same time.

  5. Review and e-sign the volunteer terms and conditions.

  6. After submitting:

    • You receive an acknowledgment email

    • If selected, you receive a confirmation email with a link to lodge registration

    • If not selected, you receive a notification email
